Job Description

Purpose:   Systems Administrator

Location; Kenya:   BOMA Nanyuki office and on location in northern Kenya, in the Marsabit and Samburu Districts

Timing:    January 2014 – January 2016 subject to a 3 month probationary period.

The BOMA Project: BOMA is a fast-growing 501c(3) non-profit organization in the U.S. and a registered NGO in Kenya. The focus of The BOMA Project is to solve one of Africa’s toughest problems: how to build incomes for ultra-poor women in the arid lands of Africa (40% of the continent). 

With a grants-based model that focuses on graduating women out of extreme poverty, we are proving that ultra-poor, often-illiterate women can become successful, self-reliant entrepreneurs.  BOMA’s innovative model, the Rural Entrepreneur Access Project (REAP) has launched 1681 businesses of 5571 women who are able to feed, educate and provide medical care for over 27,000 children. 

The BOMA Project is also initiating a governance project in Marsabit County, building institutional and human capacity at community to strengthen the participation of women in local decision-making, and at local government level to provide support to the work of the National Disaster Management Agency (NDMA) in the development of a disaster preparedness system. This system will build upon risk reduction, rapid reaction, coordination, information and knowledge management.

Position Overview:  The BOMA Project is looking for a Systems Administrator to lead implementation of the Salesforce platform in order to advance the organization’s goals of building climate resilience, reducing vulnerability, increasing income and assets, providing a diversified livelihood, and helping families cope with shock. The candidate must have strong interpersonal skills and the ability to work collaboratively with a team. A strong ethical background is required; BOMA has a zero-tolerance policy on corruption and a steadfast commitment to professional governance.

The Systems Administrator will be expected to design a system that will increase operational efficiency around data management, program monitoring and metrics and evaluation work.  This includes setting up and customizing applications for data collection, systems maintenance and the design and execution of training programs for staff.  A high priority should be placed on innovation: the exploration of innovative programming, technologies and applications.

The Systems Administrator will be an integral part of the BOMA team, responsible for the day to day management of the application, support staff, the vendors associated with implementation and the establishment of systems for the use of the applications.  They will also be responsible for the management of networks, email and web server, and general IT support.

The Systems Administrator will be expected to gain a solid understanding of BOMA’s programs and organizational structures and over time, be willing to explore additional facets of Salesforce to include, but not limited to, financial management systems and donor databases.  Upon hiring, the Systems Administrator will be expected to design a work plan and timeline for implementation.

The Systems Administrator will work closely with the Director of Research, Monitoring and Evaluation, the Project Director, the Program and Operations Director, and other BOMA Kenya staff, and in coordination with the BOMA Executive Director and CEO in the U.S..  Details of the Systems Administrator responsibilities associated with this project are below. 


Transition to digital data collection

o  Source and program mobile devices.

o  Program existing surveys into third party (mobile) apps.

o  Create custom objects in such that data maps seamlessly from the mobile app to

o  Develop and implement a training program for all users – mentors, enumerators and field officers – in the use and maintenance of mobile devices.

o  Provide daily support, training, and job aids on the use of SalesForce and mobile apps.

o  Continue to search for ways to improve data collection efficiency.

o  Manage databases.

Customisation of

o  Build reports, dashboards, workflows, customizations, etc. in 

o  Establish a process of continuous customization of the program.

o  Establish user maintenance protocols and a process for database de-duping and clean-up.

o  Work with Operations and Monitoring and Evaluation teams to understand BOMA’s programs and ensure has been fully leveraged. 

§  Create alerts to identify participants who do not meet the BOMA Project’s qualification criteria to participate in REAP.

§  Create alerts based on mentor’s regular business and savings reports to warn Field Officers of underperforming businesses.

§  Devise a way for Field Officers to easily communicate advice to mentors.

§  Develop and implement a system that allows Field Officers to better manage and monitor the activities of mentors.

o  Stay current on technology and releases.

o  Develop and implement a training program as well as source training programs for staff users.

Device maintenance and IT support

o  Organise for the maintenance and repair of hardware.

o  Provide IT support to Kenya based staff.

Management of databases and servers

o  Manage or similar cloud-based server.

o  Administer existing mail server and examine alternatives.

o  Maintain network infrastructure as well as computer and network security.

Staff hiring, management and training

o  Develop and implement a training program for BOMA staff.

o  In conjunction with the executive team, support the hiring process and manage support staff for systems administration.


-  Bachelor’s degree required.

-  At least 2 years post-college experience with databases and technology management operations.

-  Experience with SalesForce CRM and knowledge of the organizational structure and culture to help build relationships with key groups.

-  Analytical skills to respond to requested changes and customizations.

-  Detail oriented with outstanding project management skills.

-  Solid knowledge of MS Office and affiliated programs.

-  Experience in troubleshooting technology issues and problem solving.

-  Good written and oral communications skills and ability to work with diverse groups of staff.

-  A quick learner who has the ability to prioritize and multi-task as required with a demonstrated dedication to balance workloads with deadlines.
